The Executive Assistant is a part time (approximately 25 hours/week) position reporting to the President and will support him, other Senior Executives and the Board of Directors in their projects. The Executive Assistant should be a dynamic, personable, highly organized and efficient individual with strong written and verbal communication skills with proven project management experience. This role requires flexibility, diplomacy, strong ethics and discretion in handling confidential information.


  • Provide administrative support not limited to correspondence, scheduling, gate keeping, making travel arrangements, generating reports, retrieving electronic files, conducting research.
  • Review all President’s Office messages and correspondence received from staff, board of directors and public.
  • Prepare and respond directly to routine requests from, board members and the public, or refer requests to the appropriate staff,
  • Maintain a thorough and complete schedule for the President, juggling priorities and changes transparently and diplomatically. Anticipate scheduling conflicts and proactively solve them before they arise.
  • Keep abreast of Bank initiatives to ensure president’s office participation in projects is on track.
  • Arrange programs and events, including annual Holiday and/or other events by arranging for facilities and caterer, issuing information or invitations, coordinating entertainment, and controlling event budget.
  • Act as the primary liaison from President to Staff, board and the public. Present clear, concise communications that align with the priorities of the institution and the Bank President.
  • Serve as the point of contact for the Board of Directors and take responsibility for arranging such tasks as monthly meeting organization, meeting minute taking and dissemination of board materials, and setup of various board meetings.
  • Support bank projects and other senior staff as circumstances and projects may warrant or as directed by the Bank President.
  • Strong project management and research abilities.
  • Other miscellaneous administrative duties as needed.

Qualifications/Experience and/or Education

  • Minimum Associates Degree, Bachelor’s Degree preferred.
  • Strong proven work history with a minimum of 5 years of administrative experience (includes 3+ years supporting C-level executives, preferably in a financial institution or finance related organization.)
  • Flexibility to occasionally work early mornings or evenings for board meetings or bank events.
  • Excellent communication and writing skills; writing sample is required.
  • Proficient in Microsoft Office Suite to include Outlook, Word, Excel, Power Point and Adobe Acrobat.
  • Must exercise excellent judgement in a variety of situations, ability to balance multiple priorities, work independently on projects from conception to completion and be able to handle confidential matters with ultimate discretion.
  • Works well under pressure.


Typically 9 am-2:30pm M-F; however, will be required to adjust schedule for early/late meetings and/or events.
